Cross module functions

This page describes some of the features that are available in all or many of the + modules.

Search page

Most object types have a search page; the search pages all behave pretty much the same way: there is a large search field at the top, what you type in the field will be matched against any searchable fields in the object.

There may also be an “advanced search” button which will open a panel in the right side with more detailed search options.

Details page

The details pages displays details about an object, eg. a specific quotation or a specific company.

At the top will usually be a few buttons for editing, copying, deleting etc.

Some object types have a “prominent” field, which is displayed below the buttons. The prominent field is typically a field containing a large amount of text, eg. the quotation description.

Below that are display some of the fields from the object, like the title, team, dates etc.

At the bottom are displayed up to two boxes with additional information. Most object types will have boxes with files, notes, activities and more.

Data access

Data access is available in the settings for the module; the settings are available from the cogwheel in the top right corner of the screen.

Data access determines which teams may see data that belongs to other teams, eg. team Administration may see data for all other teams, but team Electricians may not see data that belongs to team Plummers.

Permissions

Permissions setup is available in the settings for the module, click on the cogwheel in the top right corner of the screen.

Permissions determine who have access to which functions. This is different from Data access, which determines who have access to what data.

Permissions work much like the permissions in the old modules.

Custom fields

Many of the objects in the + modules allows for custom fields, i.e. fields that you define. This includes equipment, quotations, tasks, companies, invoices and more. The custom fields in + modules are slightly different from the custom fields in the old modules, but to some extend it is possible to copy the fields from the old modules to the new. This is done in the System module, in the Admin > Cross save menu: click on the Custom fields button for an object and read the instructions carefully.

Notice that the custom fields in + modules are much more strict when it comes to which values you may input.

There are several types of custom fields, and most of these have various subtypes:

  • Text (subtypes: single line, long text, email, colour, link, icon with link, expression)

  • Number (subtypes: number, integer, duration, expression)

  • Complex (subtypes: address)

  • Reference (subtypes: various types of objects like User or Company etc)

  • Checkbox (subtypes: multicheck)

  • One of many

  • Date and time (subtypes: date, date and time)

A custom field may be marked as “read only”, which means that its values cannot be edited in the form where you edit an object.

A custom field may be marked as “searchable”, which means that Microbizz will look in the field when doing free text searches.

Filters

A filter specifies a set of rules for determine if a object matches the filter. A rule may be something like “the date is after 2025-01-01” or “the title contains the word wobbly”.

Filters may be either public or private; private means that only the user who created the filter can see/use the filter. A filter may be inverted, so that it returns the objects that do not match.

Filters may be marked as “use everywhere”; this makes the filter available whenever you can select a filter for the relevant object. The opposite means that the filter is only ever available from the page where it was created, f.ex. from the Search with filter page. This can prevent clutter if you have many filters.

Editing

You add rules to a filter by dragging a field from the right side list of fields to the pink box on the left side. There may be multiple pink boxes, these are called filter groups and contain a set of rules.

For each filter group you can select if all rules should apply in order for the filter group to be a match, or if just any one rules should apply. Similarly you can select if all filter groups should match for the filter to match, or if just any one filter group should match.

Update filters

Update filters allow you to setup rules for modifying an object. Once the filter has been setup you can then apply it to multiple objects at the same time. Update filters in + modules work much the same ways as update filters in the old modules.

Editing

Update filters are edited in pretty much the same ways as normal filters (see above), the UI looks very similar and once you are familiar with editing filters you should be able to edit update filters as well.

Applying

Update filters are applied from the search page for a given object: mark one or more objects from a search result and then click on the icon in the top right corner of the search result and select Update filter.

Number series

Number series work much like in the old modules, i.e. they create sequential serialnumber. For some objects you may only define a single number series, for other objects you may define a number series for each type, eg. for quotations you may define a number series for each quotation type.

Number series generate serialnumber of the form ANB, where A and B are static texts and N is a number that increases each time a new serialnumber is generated.

Depending on the object the number series may be applied at different times: for quotations the number series is applied when the quotation is saved and the quotation doesn’t have a quotation number. For invoices the number series is applied when the invoice is posted and it doesn’t have an invoice number.

Tooltip

A tooltip (a.k.a. card layout) what appears when you hold the mouse over the link to an object; it is a box with more details about the object. You may customize the tooltip for most of the major types of objects, like quotations, companies, users, persons etc.

A tooltip consists of a number of fields from the object, or from associated objects. F.ex. a quotation has an associated company and an associated user, so the tooltip may also include fields from the company and the user.

For some object types you may define two tooltips; the other is used when displaying an autocomplete search results and these should probably hold less information, to allow many objects to be displayed at once in a search result.

Editing

You simply drag fields from one of the right side lists of fields to the left side box; you may drag the fields in the left side box to reorder them. Click on the X to remove a field.

Competences

There are two types of competences; checkbox and levels, these are described below. Users may have competences, whereas equipment types and tasks may require competences.

Competences in the + modules work much like the competences in the old modules, and in fact the old competences setup is copied to the new setup. Competences may be organized into categories; this is only to help you structure the competences if you have many.

Checkbox

This is a competence that you either have or don’t have, like “More than 5 years experience”.

Levels

This is a competence with multiple levels, like “Can speak spanish” or “Security clearance level”. The lowest level should always be treated as “don’t have the competence”, so for spanish the levels may be “None”, “Tourist”, “Experienced”, “Fluent”.

Mail messages

Some of the + modules allows to send mail with customized message. In that case a Message field will appear and you click on the field to open the message editor.

Here you can compose the message to use as the mail body when the mail is sent; the mail body may include fields from the object (the quotation or invoice etc.) or the associated company etc. To insert a field in the message you click on the field in the right side list of fields; the field will be inserted where the cursor/caret was located; the field will appear as something like %quotation:title% or %invoice:duedate% etc.

Once you have composed the message you click on the Save as template button and give it a name; you will then be able to select the template in the template list in the top right corner of the message editor.
